Performance and reputation monitoring is the last and most important part of the warm-up process.

Now that your domain and IP are warming up, it's important to monitor their performance and sender reputation. This guide outlines the recommended daily monitoring routine throughout the warm-up process.

Daily monitoring checklist:

  • Delivery performance: Track the delivery rate of your emails. This ensures inbox providers are accepting your messages. Look for metrics like bounces and delays.

  • Campaigns performance: Analyze key metrics to understand how your emails are performing after landing in inboxes. Focus on open rate, click rate and unsubscribe rate.

  • Sender reputation: Track the reputation of your subdomain and IP address. A good reputation increases the likelihood of your emails reaching inboxes.

Delivery performance

Based on the delivery performance analysis table you prepared at step 1 of the warm-up methodology (see more here), compare the delivery performance of emails sent from Batch with the performance of emails sent from your former email provider.

You can fill in another table to compare easily the delivery performance with your former email solution and with Batch:

Interpreting the results:

  • A higher delivery rate for Batch indicates a greater percentage of your emails are reaching recipient inboxes.

  • A lower bounce Rate for Batch suggests fewer emails are undeliverable due to invalid addresses or other issues.

  • A lower spam complaint rate for Batch signifies a positive sender reputation and less risk of emails landing in spam folders.

Additional Considerations:

  • Consider the timeframe when comparing results. Ideally, compare data from similar periods (e.g. past week or month) for both Batch and your former provider.

  • During the initial warm-up phase with Batch, your delivery rates might fluctuate slightly. This is normal and should stabilize over time as your sender reputation improves.

Subdomain & IP reputation monitoring

Maintaining a positive subdomain and IP reputation is key for optimal email deliverability. Here, we will explore two valuable tools to help you monitor their health:

Google Postmaster Tools (GPT)

Google Postmaster Tools enables you to check the reputation of your subdomain and sending IPs according to Google for Gmail.

It also provides useful spam rate monitor tools, authentication and feedback loop reports. More information here.

Note: Data needs up to 48h to appear in Google Postmaster Tools. Small volume of emails, typically during the first days of the warm-up, may not appear un GPT.

Microsoft email & sender scoring

You can regularly check how Microsoft sees you as a sender when you send emails to Hotmail/Outlook domains, especially if you have low open rates.

Microsoft inserts in the header of received emails a scoring that provides insights on how the email and the sender are rated:

    • 1-3: Neutral. The message content isn't likely to be phishing.

    • 4-8: Suspicious. the message content is likely to be phishing.

  • Spam Confidence Level (SCL): email related, 0 to 9 (lower = better). It looks like emails that are over 4 land in the spam folder.

  • Bulk Complaint Level (BCL): sender related, 0 to 9 (lower = better). The sender score seems to be scoped to the sending domain, as per our internal tests.

Microsoft Smart Network Data Services (SNDS)

For customers with dedicated sending IPs only.

SNDS allows senders to monitor the perception by Microsoft of all sent emails from your IPs. Unlike GPT, SNDS doesn't show data for subdomains.

It remains a good option to monitor:

  • Sending performance: Know which one of your IPs is performing better and guess why.

  • Campaigns performance: Understand which campaigns are causing most of the spam complaints and which campaigns are not qualified positively by Microsoft.

  • Spam complaints: Determine the kind of user profiles irritated by your emails, to improve your targeting.

  • Performance monitoring: Understand how your global performance evolves over time.

  • Spam traps: Identify the days when you have hit a spam trap.
